CRM automation: what to automate (and what to leave alone)

CRMs let you automate just about anything. That doesn't mean you should. Here's a tight list of what's worth setting up and what's a waste of an afternoon.

Automate this

New lead → instant SMS reply. The highest-leverage automation in any CRM. Always on.

Quote sent → 3-day, 7-day, 14-day follow-up. Recovers 15–30% of cold quotes.

Job complete → review request 2–4 hours later. 10x your review velocity.

Lost lead → quarterly nurture. A simple "still need help with X?" message every 90 days resurrects 5% of dead leads.

Don't bother

Lead scoring beyond simple tags. Most small businesses overthink this. "Hot/warm/cold" is plenty.

Complex multi-branch workflows. They look impressive and never work in practice.

Birthday emails. Nobody cares. Sorry.

Pick a CRM your team will actually use (HubSpot, GoHighLevel, Pipedrive, Jobber). Set up the four "automate this" flows above. Stop there for 90 days. Add more only when you see the gap.
